Human Resources Assistant 3

PURPOSE:  Provides lead administrative and technical support to the Employment section of the Human Resources (HR) Employment, Development, and Performance (EDP) department.  Serves as administrator and primary technical support for web-based Applicant Tracking System (ATS) and Hiring Manager Module.  Acts as information source for pre-employment recruitment procedures, processes, and policy questions or activities.  Serves as chief process trouble shooter for Employment and all recruitment related areas and continuous improvement of Employment processes.  Serves as lead applicant contact (face-to-face, phone, and email).
 
ESSENTIAL JOB FUNCTIONS:
 
*  Employment Operations:  Serves as administrator and provides technical support for iGreentree online system (Applicant Tracking and Hiring Manager Module).  Maintains WORK email folder interacting with, and troubleshooting for all applicants both external and internal; administers system's username ID & passwords for hiring managers and provides assistance during their requisition entries; oversees kiosk area in front lobby and assists walk-in applicants; scans and processes applicant materials when necessary utilizing iGreentree ATS.  Prepares reports and maintains original hard-copy records for ad accruals, applicant flow data, Records Inventory and Disposition (RID), Critical Indicators, 3161s, and Equal Employment Opportunity (EEO)/Affirmative Action (AA); provides special projects/reports assistance to Director, EDP; coordinates pre-employment applicant travel/relocation arrangements and provides final review before processing the Travel Expense Statements for approval and payment.
 
*  Recruitment Assistance:  Places/pays recruitment ads and maintains the iGreentree Ad Source database; maintains and audits electronic job files; works with recruiters with job postings and maintains the listserv of posting contacts; in absence of assigned recruiter or HR Assistant, prepares offer letter for Director, EDP's signature and sends offer letters/new-hire packets to new hires.
 
*  EDP Operations:  Answers questions, resolves issues, troubleshoots, and instructs applicants on using the online applicant system.  Provides supplemental HR duties as needed.  Serves as back-up for EDP's Clerical Pool and other EDP staff members.  Serves as alternate for new hire training orientation.  Trains new staff in the Employment operations and processes.

REQUIREMENTS:

High School diploma or equivalent with a minimum of six to ten years job related experience required; some college desired.  Must possess good computer skills to include data entry, word processing, spreadsheets, and databases.  Must be able to learn new computer systems quickly.  Excellent communication, coordination, interpersonal, customer service, organizational, teamwork, and problem solving skills required.  Must be detail oriented, accurate, flexible, able to meet deadlines, and able to prioritize multiple and competing tasks.  Knowledge of personnel/employment and business operations policies and procedures desired.  Knowledge of iGreentree Applicant Tracking software desired.
